Human Resources Generalist

Under the supervision of the Director of Human Resources, assist across the Human Resources functions to meet the operational and compliance objectives of the department. Coordinates recruitment and onboarding, technology assistance of software systems, HRIS reports, website editing, writing and editing of position descriptions, payroll preparation, event planning, budget monitoring, legal immigration processes, and general office procedures. The Human Resources Generalist provides front-line customer service and support for questions, procedures, and other issues related to Human Resources.
Description of Duties and Tasks:
Payroll, Data Management, and Budget
  • Manages the human resources portion of the payroll process to ensure all data is complete and accurate. This includes data and records for new hires, separations, position changes, and status changes campus-wide.
  • Manages the process to ensure all internal steps are completed for new hires, separations, and status changes campus-wide.
  • Manages the position control system in HRIS system to ensure all current positions and jobs are set up and managed correctly.
  • Manages the payroll authorizations and ensures the human resources portions are completed accurately.
  • Creates reports and provides requested data for HR and other departments on campus. Maintain spreadsheets and databases using HRIS system and Excel.
  • Administers employee leave recording system, assisting with employee self-service as needed.
  • Monitors and manages department budget including budget and journal transfers to stay on track and conserve funds. Processes department invoices for payment.
  • Hires, trains, and manages HR student staff.
  • Coordinates the recruitment function for all staff employees. Receives, screens and routes copies of all applications to appropriate supervisors. Communicates with all applicants in an appropriate and timely manner. Maintains logs of applicants, filters applications, sends updates, and responds to specific needs of the supervisor as requested.
  • Researches appropriate marketing options and consults with supervisors regarding posting and advertising funding. Establishes and maintains new contacts for job openings. Creates ads and emails advertising open positions. Maintains job section of website, working with the Design Center and webmaster to continuously update and improve the application process.
Hiring & Selection
  • Writes, updates and grades job descriptions for all departments.
  • Ensures each department’s job descriptions are accurate and updated.
  • Prepares, coordinates, and distributes open enrollment benefits packages annually.
  • Approves and records all tuition remission requests.
  • Assists with benefits administration as needed.
Legal & Compliance
  • Maintains all paper records for current and former employees, including personnel files, I-9 files, E-Verify, terminated files, immigration files, background check reports, FMLA, PFML and extended sick time. Follows retention guidelines, safely discarding as necessary. Ensures confidentiality and security of information at all times.
  • Ensures correct state and federal labor law notifications are posted throughout the campus.
  • Works with immigration attorney to coordinate immigration processes.
  • Prepares letters of offer.
  • Conduct orientation meeting for adjuncts, part-time employees, and E level categories.
  • Coordinates and performs background check process on new hires and E-Verify.
  • Compiles all legal onboarding paperwork for payroll.
Customer Service
  • Serves as the first line of contact for the Human Resources office. Answers and screens phone calls and email. Primary responder to [email protected] emails.
  • Researches and resolves questions/issues, provides information and requested forms, responds to inquiries from colleagues, payroll, and company vendors as they relate to the processing of human resources information by accessing information in multiple software and filing systems.
  • Administers institutional flower and cheer fund by selecting, purchasing, and delivering a gift appropriate to the occasion. Staff Events•Plans and organizes special employee functions by preparing employee communications and coordinating arrangements with physical plant, dining services, and other departments on and off campus.
  • Fully responsible for organizing additional campus-wide events including annual flu clinic, performance review trainings, service awards ceremony, and health & wellness initiatives.
  • Responsible for all general clerical duties of the office, such as preparing correspondence, filing, sorting mail, scheduling, photocopying, and ordering supplies.
  • Creates, enhances, and maintains human resources public and internal web pages, designing style and content for maximum information and ease of use. Ensures information is updated and accurate.
  • Plans work, establishes SOPs, interprets and applies human resources policy to daily tasks and employee relationships.

  4. Bachelor’s degree or equivalent experience
  5. Two to three years of human resources experience or related field.
  6. Knowledge of HR laws and policies
  7. Excellent written and oral communication skills.
  8. Excellent computer skills, especially in Excel, Word, PowerPoint, database management and web editing.
  9. Exceptional customer service skills. Engage and respond to staff, faculty, students, and guests in a personable and professional manner.
  10. Ability to organize, prioritize, and complete multiple tasks simultaneously.
  11. Demonstrate a high level of integrity and confidentiality.
