Overview 

Gordon-Conwell is a multidenominational, protestant graduate school, unique with its broad array of over 1,300 students and 200 faculty and staff from 78 denominations and over 50 countries. We offer a residential model of education at South Hamilton, MA (our main campus); an urban context in Boston, MA; adult educational models in both our Charlotte, NC campus and our offerings in Jacksonville, FL; in addition to online and cohort models involving students from around the world.

Position Summary

Under the supervision of the Director of Human Resources, the Human Resources Administrative Assistant plays a vital role in supporting the day-to-day administrative operations of the HR Department. This position is ideal for someone who is detail-oriented, service-focused, and thrives in a collaborative environment. The role requires strong administrative skills, discretion with sensitive information, and the ability to manage multiple tasks with professionalism and efficiency. The incumbent must possess the ability to work well within a team environment; and ability to relate in a gracious and efficient manner to the various constituencies of the Seminary.  Position is part-time 25 hours/week.

 

Key Responsibilities:

  • Records management: Maintain accurate HR records and files (physical and electronic) in compliance with federal, state, and local regulations.
  • HR Communications: Assist in drafting, proofreading, and distributing HR communications and documentation. Prepare documents for mailing or other distribution, including Service Award Notices, birthday cards and other correspondence.
  • Reporting:  Support HR reporting, including attendance and turnover reports; prepare employment verifications. Prepare other HR reports, as requested.
  • Manage daily administrative operations of the HR office, including:
    • Entering weekly and monthly invoices and AMEX statements into Concur (GCTS’s accounting system).
    • Monitoring and responding to inquiries sent to the HR department email, forwarding messages as needed.
    • Maintaining office supplies and organizing storage and filing systems.
    • Collecting and sorting mail and correspondence.
    • Responding to routine inquiries in person, by phone, and via email.
  • Community Building Initiatives:  Coordinate community-building initiatives and employee events across campuses.
  • Workflow:  Assist with paperwork and workflow for employee transfers, classification changes, and other employment actions.  Collaborate with department heads to ensure job descriptions are current and properly filed as roles evolve.  Prepare, distribute, and collect Adjunct Faculty Contracts each semester.  Distribute and collect Full Faculty Contracts annually.  Support the Assistant Director with the Open Enrollment process annually.
  • Performs other related duties as assigned or requested.

Education and Experience:

  • Associates degree or equivalent experience.
  • 1-2 years of administrative assistant experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Concur or other accounting software a plus.
